Executive Assistant for Property Insurance Leadership
We are seeking a highly skilled Executive Assistant to support senior leadership within our Property Insurance and Executive General Adjusting (EGA) organization. This role is ideal for someone who understands the rhythm of a claims‑driven, field‑based business, thrives in a fast‑paced environment, and is energized by supporting leaders who are highly experienced, highly mobile, and deeply engaged with clients and teams.
This position goes beyond traditional administrative support. You will be a trusted partner, operational connector, and stabilizing force for a leadership group managing complex claim operations, extensive travel, and continued business growth.
As part of this role, you will also play a meaningful part in an exciting transition as we expand and build out a major office hub in the Plano, TX area, bringing together multiple business units under one roof. Primary Purpose
The Executive Assistant is responsible for coordinating executive‑level operations and planning while ensuring the timely, accurate flow of information. This role manages highly confidential matters, anticipates leadership needs, and independently prioritizes multiple initiatives in a high‑pressure, fast‑moving environment. You will serve as an ambassador to internal and external stakeholders and help ensure leaders remain focused, prepared, and effective.
Key Responsibilities
Support senior leaders within a Property Insurance and EGA (Executive General Adjusting) organization, with a strong understanding of claims operations, field adjuster environments, and client expectations.
Proactively manage internal and external relationships, recognizing priority contacts and ensuring effective, timely communication.
Anticipate leader needs by coordinating people, information, and resources ahead of meetings, travel, and key business moments.
Prepare agendas and supporting materials for leadership‑led meetings, including research, background information, and polished presentations.
Manage complex calendars for leaders who travel frequently, ensuring visibility, precision, and flexibility in scheduling.
Build and maintain systems to track deadlines, action items, and incoming requests from multiple stakeholders.
Coordinate extensive domestic and international travel, including advance planning, itineraries, materials, agendas, and logistical details.
Partner closely with leaders and teams during the Plano office expansion, supporting executive presence, coordination, and communication during periods of growth and change.
Handle confidential business and personal information with professionalism, discretion, and sound judgment.
Act as a representative and ambassador for leadership when interacting with internal teams, clients, and external partners.
Process and manage expenses accurately and efficiently.
Provide support during regular business hours and, as needed, evenings or weekends to align with leadership demands.
What We're Looking For
Experience supporting executives or leaders within property insurance, claims, or adjuster‑based environments is strongly preferred.
Comfort working with highly experienced, highly independent, and frequently traveling leaders.
Proven ability to thrive in a fast‑paced, high‑pressure environment with competing priorities.
Strong organizational instincts and the ability to stay several steps ahead.
Professional presence, polish, and confidence when interacting with senior leaders and external stakeholders.
Exceptional discretion and judgment when handling sensitive and confidential matters.
QUALIFICATIONS
Education & Licensing Bachelor's degree from an accredited college or university preferred.
Experience Five (5) years administrative assistant experience OR three (3) years executive level administrative experience OR equivalent combination of education and experience required.
